Why Our Sample Development Fee Isn’t Credited Toward Production

“If I order 100, 500, or more plush toys afterward, can the sample fee be refunded or credited toward my order?”

It’s a reasonable question when comparing custom plush quotes.

Przy CustomPlushMaker, sample development and production are charged separately. Placing a production order—even a larger one—does not make the sample development fee refundable or eligible for a production credit. For an unchanged reorder, however, we do not charge the original development fee again.

These policies follow the same principle: new development involves work that must be paid for; completed development that can be reused is not charged again.

1. What Do Development and Production Fees Pay For?

Sample development answers the question, “How do we turn this design into a three-dimensional plush toy?” Production answers, “How do we make the agreed quantity to the approved design?”

ComparisonInitial Sample DevelopmentProduction Run
Starting pointArtwork or reference images that need to become a physical toyAn approved sample, patterns, and production specifications
Main taskDevelop the shape, select materials, test construction, and refine detailsReproduce the approved version
Working processTrial making, inspection, feedback, and adjustmentsScheduling, specialized tasks, continuous production, and inspection
Main costsSkilled development labor, trial materials, and agreed revisionsMaterials, production labor, setup, and order management

A custom sample is not simply one toy taken from an established production line. Its cost cannot be calculated using the production price per piece.

The sample fee pays to develop the design. The production price pays to manufacture it in quantity. We quote those costs separately so you can see what each covers.

2. What Work Goes into a Custom Plush Sample?

Artwork shows what a character should look like. It usually does not specify the shape of every fabric piece, where the seams should go, or how the toy should be stuffed to create the intended form.

Those decisions require development and trial work.

Consider a plush character with an embroidered face and an outfit:

Development WorkWhat It Involves
Pattern makingTurning the artwork into pattern pieces that create the intended proportions, curves, and shape
Material selection and preparationChoosing suitable fabric, pile length, colors, and stuffing
Trial cutting and sewingChecking how the pieces fit together and whether seams and components sit correctly
Embroidery digitizing and test stitchingTranslating facial features and logos into stitches that work on the selected fabric
Plush clothing and accessory developmentMaking clothing fit and determining how accessories attach
Stuffing, inspection, and adjustmentsChecking the filled shape and identifying details that need refinement

Some issues become visible only after the fabric has been sewn, turned, and stuffed. A head may look too flat, an ear may sit at the wrong angle, or the facial features may need repositioning.

Addressing those issues can require revised patterns, new fabric cuts, additional sewing, or another embroidery test.

The development fee covers both sample materials and the professional time of pattern makers, embroidery specialists, and sample-making staff. The work varies by design, so a fixed percentage breakdown would not accurately describe every project.

3. Why Isn’t the Fee Refunded or Credited When You Order Production?

A later production order does not reduce the development work already completed.

During sampling, the team has committed time and materials to the agreed development, trial making, and adjustments. Production then requires its own material purchasing, preparation, manufacturing, and inspection.

Our approach is straightforward: development is priced according to the development work; production is priced according to the specifications and quantity.

If a larger quantity creates purchasing or production efficiencies, those benefits are reflected in the production quote rather than a refund of the sample fee.

Quote ComponentThe Question It Answers
Sample development feeWhat will it cost to develop this design into a sample we can review and approve?
Production quotes at different quantitiesWhat will it cost to manufacture 100, 500, or more pieces of the approved version?

This allows you to budget for development and production separately. You do not need to reach a future order threshold to determine how much of the development fee you will ultimately pay.

4. Does a Separate Development Fee Mean a Higher Total Price?

Not necessarily.

Suppliers may charge development separately, offer a credit when certain conditions are met, or include development in an overall project price. A meaningful comparison looks at the full cost for the same design, quantity, specifications, and services.

Here is a hypothetical example:

CostOption A: Separate Development FeeOption B: Full Development Fee Credit
Development fee$155$300
Production cost for 100 toys$1,000$1,155
Development fee credit$0−$300
Combined development and production cost$1,155$1,155

All amounts are in U.S. dollars. These figures illustrate the calculation and are not quotes from CustomPlushMaker or another supplier. The example assumes matching product specifications and services. Shipping, taxes, and other expenses are excluded.

Different pricing structures can produce the same total. A sample fee credit alone does not tell you which quote offers better value.

When comparing quotes, check how many revision rounds are included and whether sample shipping, plush clothing, and accessory development cost extra. If a supplier offers a sample fee credit, ask:

  • What order quantity qualifies?
  • How much will be credited?
  • Will that amount be deducted directly from the production invoice?

5. What Do You Receive for the Development Fee?

Development provides a physical sample and helps establish the materials, construction, and specifications for your project.

Result or ServiceHow It Supports Your Project
A physical sample for reviewShows how your artwork translates into a three-dimensional product
Material and construction decisionsEstablishes fabric, embroidery, printing, and assembly details
Revisions within the agreed scopeAllows you to provide feedback and review the adjustments
An approved sample and specificationsCreates a shared reference for production and inspection
Archived internal development recordsSupports future production and unchanged reorders

Once confirmed, the physical sample can be shipped to you for inspection and review. Sewing patterns, cutting templates and files, and embroidery digitizing files remain part of our internal technical records. We retain them for production and reorders; they are not included in the sample deliverables and are not provided externally.

Sample shipping is charged separately. We explain the development services and revision arrangements before work begins.

6. Why Don’t Unchanged Reorders Incur the Original Development Fee Again?

Because the existing development work can be reused.

At CustomPlushMaker, we retain project patterns, fabric and component specifications, cutting templates and files, and embroidery digitizing files.

Reorder SituationHow We Handle Development
Same design and unchanged specificationsNo repeat charge for the original development
New clothing or accessories without changing the body patternsAdditional development is assessed and quoted separately
A different character or major shape or size changes requiring complete pattern redevelopmentQuoted as new sample development
Other material or construction changesReviewed to determine whether additional development is needed

We charge for the initial development, do not charge again for reusable work, and assess new work separately.

Each reorder still requires production preparation. Production and shipping are quoted for the new order, so avoiding a repeat development fee does not mean all other prices remain unchanged.

7. How Should You Budget for Development on a 100-Piece Order?

With a smaller order, a one-time development fee makes up a larger share of the project cost.

For example, a $155 development fee spread across the first 100 toys represents $1.55 per toy in your project budget. This is a budgeting calculation—not an additional per-unit production charge.

Before starting, consider:

  • Have you settled on the first character, colorway, and size?
  • Do you need all the plush clothing and accessories at launch, or can you start with the core version?
  • Is the product intended for resale, an event, or brand promotion—and does the budget fit that purpose?
  • If the project continues, are you likely to reorder the same design?

Avoid increasing your quantity solely to spread out the development fee. Budget for development, production, shipping, and other relevant expenses together, then choose a quantity that fits your needs.

At CustomPlushMaker, production starts at 100 pieces per design, per colorway. You can begin with a smaller run while allowing for the development work a new design requires.

What If You Cancel Before Development Starts?

If you have paid but we have not started development, you can request a refund, less actual bank fees associated with the payment and refund. Once development starts, the sample development fee is non-refundable.

Development includes project-specific pattern making, material preparation, and embroidery digitizing. Not having received prototype photos does not necessarily mean work has not started.

If you need to cancel, contact us promptly. We check the project’s status when we receive your request and explain the refund amount and relevant bank fees before processing an eligible refund.

This cancellation policy is separate from whether the sample fee is credited toward a later production order.

Understand the Full Project Cost Before You Begin

Our sample development fee is not refunded or credited because you place a production order. At the same time, completed development that can be reused is not charged again on an unchanged reorder.

Send CustomPlushMaker your artwork, size, colorway, quantity, and accessory requirements. Before work begins, we’ll explain the development fee, production quote, planned work, and applicable terms so you can review the project budget and decide whether to proceed.

FAQ

Is the sample development fee refunded or credited when I place a production order?

No. At CustomPlushMaker, sample development and production are charged separately. The development fee is not refunded or credited toward production, regardless of the quantity ordered.

Why is sample development charged separately?

The fee covers the work needed to turn your artwork into a physical plush sample, including pattern making, material preparation, trial sewing, embroidery digitizing, and agreed revisions. Production costs cover manufacturing the approved design in quantity.

Will I pay the sample development fee again when I reorder?

Not for the same design with unchanged specifications. We retain the development records for future production. Design, size, material, or accessory changes are reviewed separately to determine whether additional development fees apply.

Can I receive the patterns and embroidery files with my sample?

No. The confirmed physical sample can be shipped to you, with shipping charged separately. Sewing patterns, cutting files, and embroidery digitizing files remain internal technical records used for production and reorders and are not provided externally.

Can I get a refund if I cancel before development starts?

Yes. If we have not started development when we receive your cancellation request, you can receive a refund less actual bank fees associated with the payment and refund. Once development begins, the fee is non-refundable. Not having received sample photos does not necessarily mean development has not started.
